The weekly CS report, built by Claude

Matt asked how Claude can help with Freshdesk reporting and what we can automate in Jen's weekly report. Jen asked for complaints per type each week and month, what each one costs, and week on week and month on month comparisons. This page does that from the two trackers Jen shared, using last week and October as the example.

For Matt, Jen and Dom, Friday 6 Nov Based on the Damaged Cakes and Voucher tracker, the Complaints Report and PV CS Report WC 26/10/26
The short version

Jen goes from compiling the report to checking it

Today

  • Each case is typed into the Damaged Cakes and Voucher tracker, and the weekly email is pasted together from that and the Complaints Report
  • The 'Julie New' summary has stopped adding up, so there's no reliable count or £ by type
  • Google reviews are checked café by café and Judge.me is screenshotted
  • No week on week or month on month view

With Claude

  • Counts and £ for every complaint type, week on week and month on month, read straight from the tracker
  • The email builds itself and lands Monday at 8am
  • Patterns, rates per 1,000 orders and same-day alerts on top
  • Later, tickets come straight from Freshdesk so nobody has to type them in
Example 1 · The report itself

Prototype: Monday's email

Built from the trackers as they stood on 4 Nov. Counts and £ by type come from the Damaged Cakes and Voucher tracker, the quality, wrong, missing and café sections from Jen's report, and orders from Shopify. Jen's ask marks what Jen asked for and Added by Claude marks extras.

What Claude does with each case

Real cases from last week. Customer names and addresses are left out.

Jen's report has this order twice, once under missing items (no inscription) and once under quality (hair). Claude keeps it as one case with both issues and the full cost, and can do the same lookup for every order in the log.

Drafting a Google review reply

Cribbs, 1 star, in shortLong wait to be seated, nobody took the order after 15 minutes, so they left.

Hi, thanks for letting us know, and we're really sorry. Waiting over 15 minutes with nobody coming to take your order isn't good enough, especially with tables free. We've shared this with the Cribbs team so they can look at how the café is covered at quieter times. If you'd like to tell us more, our customer care team is at [email address], and we'd love the chance to welcome you back.

Drafted for the café manager or Jen to approve. Nothing posts without a person.

Beyond the weekly report

Other things Claude could take on

Switching it on

What we'd need, and a plan to be live before Black Friday

Access and decisions

  1. Nothing new to start. Claude can already read the tracker, which is how this page was built. For the Monday run to work on its own, share the tracker (view only) with the Google account Claude's Drive connection uses
  2. A Freshdesk API key from an admin, so cases log themselves instead of being typed in
  3. A Judge.me API token, from Judge.me settings
  4. Access to the cafés' Google Business Profiles for reviews
  5. Agreed rules: the type groups above, weeks running Monday to Sunday by the date in the tracker, and who gets alerts

Plan

Fri 6 NovWalk through this with Matt and Jen and agree the types, groups and rules.
9 and 16 NovClaude sends the weekly report from the tracker alongside Jen's version so we can compare.
From 23 NovClaude sends it on its own. Freshdesk and same-day alerts go live ahead of Black Friday on 27 Nov.
For Matt's question

Already running on Claude

The CS report would run on the same setup and land the same way.
